By proceeding with their registration, the participant confirms that they have read the “Policies and Regulations” document, declares that they are satisfied with it, and agrees to abide by it.

Cancellation Policy in the event of force majeure

No full or partial refund will be granted to one or more participants in the event of force majeure, unless the case of force majeure completely prevents the event from being held. A case of force majeure includes but is not limited to any fortuitous event, strike, partial or complete work stoppage, lockout, fire, riot, intervention by civil or military authorities, compliance with regulations or orders of any government authority[1] (e.g., forced closure of establishments, forced cessation of activities, etc.), act of war (declared or not), act of terrorism, earthquake, natural disaster, epidemic, or pandemic.

POLICY ON HOLDING THE EVENT IN THE TIME OF THE PANDEMIC ASSOCIATED WITH COVID-19 AND ITS VARIANTS

Health measures
We remind you that the current situation requires the implementation of certain public health rules, and that it is everyone’s responsibility to comply with these standards in effect.

The event organizer as well as the operator of the place/location hosting the event are committed to enforcing the health directives issued by government authorities that are applicable to them in order to maintain a safe environment for all participants.

By proceeding with their registration, the participant also agrees to comply with the health directives issued by government authorities that are applicable to them and to ensure that their dependents comply with them, if applicable.

Failure to comply with these public health and safety orders could lead to the expulsion of the participant from the premises, without any possibility of compensation.

Depending on the case, failure to comply with these public safety orders could also incur your liability according to the application of the penalties stipulated in the Public Health Act.

Use of the vaccine passport
In accordance with the orders of the government of Québec currently in effect, a vaccine passport may be required to participate in this event in its in-person format.

If applicable, the event organizer and the operator of the premises hosting the in-person event will be required to conduct any necessary verification in connection with a participant’s vaccination status in accordance with the government orders in effect.

By proceeding with their registration and depending on the chosen participation format (virtual vs. in-person), the participant confirms that they hold the vaccination status required to participate in the in-person event.

The participant understands that it is the government of Québec that is imposing any vaccination requirement that might be necessary to participate in an in-person event. The participant understands that the event organizer and the operator of the premises covered by the vaccine passport cannot be held liable for imposing this requirement.

The vaccination status verification will be carried out at the main entrance of the event in accordance with the orders implemented by the government of Québec at the time of the event, if applicable.

Under no circumstances can the organizer be required to reimburse a participant who is denied access to the organized event due to non-compliant vaccination coverage.

Holding the event in 100%-virtual mode
Public health rules can change in unpredictable, unavoidable ways beyond the control of the event organizer.

In light of this fact, the event will be held in a format suited to the present health situation.

If you opted to participate in the in-person event and it cannot take place due to a Public Health order or a precarious epidemiological situation, therefore, you will be able to receive a 50% refund and you will automatically be transferred to the virtual event. 

Otherwise, the GENERAL CANCELLATION POLICY specific to your participation mode is still applicable to you.

CANCELLATION POLICY IN THE EVENT OF DEATH OR SERIOUS ILLNESS

In the event of the death or serious illness of the participant or a member of their immediate family (father, mother, spouse, child), a 20% refund of the amount paid will be made upon receipt of written proof. A death notification or medical certificate will be considered proof beyond any doubt. No other document will be accepted.

REGISTRATION TRANSFERS

No registration transfers will be accepted unless they are in line with the application of the above POLICY ON HOLDING THE EVENT IN THE TIME OF THE PANDEMIC ASSOCIATED WITH COVID-19 AND ITS VARIANTS.

Buyer with appointment

Participant selection criteria and restrictions

By proceeding with their registration, the buyer confirms that they have read the “Policies and Regulations” document, declares that they are satisfied with it, and agrees to abide by it.

General cancellation policy

A written cancellation notice received at the office of the Bus Carriers Federation by August 31, 2022, at the latest will result in a refund of 50% of the registration fees. The administration fees are non-refundable. 

A written cancellation notice received between September 1 and 16, 2022, inclusive will result in a refund of 25% of the registration fees. The administration fees are non-refundable. 

No refund will be granted for a cancellation notice received after September 16, 2022.

The same rule applies for accompanying persons and no shows.

Participation policy

  • The delegate registered for in-person appointments is assigned a booth on the trading floor and must honour the appointment schedule that will be set up for them;

  • The delegate registered for virtual appointments is assigned a virtual room and must honour the appointment schedule that will be set up for them;

  • It is the responsibility of the delegate registered for virtual appointments to ensure the quality of their internet connection and all the conditions required in their environment to honour their appointments. In no case can the Bus Carriers Federation be held liable for the buyer’s poor internet connection.

  • The delegate agrees to respect their appointment schedule. In the event of an appointment cancellation, the delegate must notify the seller in question of the cancellation of the appointment via the web platform.

Failure to comply with the above Participation Policy will result in the buyer being issued a non-compliance warning. The accumulation of these warnings will indicate to the Bus Carriers Federation the buyer’s lack of interest, and accordingly, the buyer may possibly be denied participation in the event.

Deadline to complete the buyer company profile for the appointment selection: September 16, 2022.

PAYMENT TERMS

The Bus Carriers Federation must receive payment of the registration fees for Bienvenue Québec by August 31, 2022, at the latest. In the event that your registration fees remain unpaid after this date, the Federation will proceed with the complete cancellation of your registration for the event without further notice.

Any registration received after August 31, 2022, must be accompanied by payment.

  • Beyond these numbers (even if they are reached before the registration deadline), a waitlist will be created for each activity.
  • The priority is determined according to the order in which the registration was received.

PARTICIPATION POLICY FOR ALL SELLERS

It is the delegate’s responsibility to ensure the quality of their internet connection and all the conditions required in their environment to honour their virtual appointments. In no case can the Bus Carriers Federation be held liable for the seller’s poor internet connection.

REGISTRATION TYPE MODIFICATION POLICY FOR ALL SELLERS

A written registration type modification notice received at the office of the Bus Carriers Federation will be considered a cancellation (in accordance with the above CANCELLATION POLICY). The Federation will change the registration type. This modification will be treated as a new registration.

ADDITIONAL TERMS AND CONDITIONS FOR SELLERS REGISTERED FOR APPOINTMENTS

Deadline to complete the seller company profile in the appointment selection: September 18, 2022.

Three criteria influence the number of registrations:

  • The ratio must be 2.1 sellers per buyer;
  • The origin of the sellers must be 75% from Quebec and 25% from outside of Quebec. The tourism associate membership fee is mandatory.
  • A maximum percentage of companies registered per category must also be respected in order to provide a diversity of offerings.
